Position Scope

The Executive Assistant will provide high-level administrative and operational support to the Chief Executive Officer, ensuring priorities are managed effectively and business goals are advanced. This role manages complex calendars, coordinates travel and meetings, tracks key action items, serves as a trusted liaison with stakeholders, and provides personal support across a variety of tasks.

Location & Travel: This position will be based in the Fargo, ND office, with the expectation of some limited-notice travel and flexibility to work non-standard hours as needed.

Essential Job Duties and Responsibilities

Professional Support:

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Track action items from key meetings and ensure timely follow-through
  • Act as a liaison with key partners, maintaining professionalism and confidentiality
  • Prepare, review, and edit correspondence, reports, presentations, and other documents.
  • Organize and prioritize incoming communications, flagging items that require attention.
  • Coordinate logistics for meetings, including agendas, materials, and follow-ups.
  • Handle confidential information with discretion and professionalism.
  • Support special projects and company initiatives as directed by leadership.
  • Working with internal and external participants, coordinate logistics for customer meetings, investor matters, and other high-level engagements.
  • Assist with expense reports, budget tracking, and invoice processing.
  • Provide general office and administrative support as needed

Personal Support:

  • Coordinate personal travel
  • Handle personal errands (reservations, gift sourcing, deliveries) with discretion
  • Manage confidential documents
  • Serve as the point of contact for household vendors and service providers

Education and Work Experience

  • A minimum of 3+ years in executive level administrative/assistant experience supporting senior level executives
  • Experience within the Construction industry is preferred
  • Associates or Bachelor’s degree is preferred

Knowledge, Skills, and Abilities

  • Exceptional organizational and time-management skills with a service- oriented mindset
  • Strong written and verbal communication abilities
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and/or Google Workspace.
  • High level of integrity and discretion in handling sensitive information
  • Ability to pivot quickly and thrive in a dynamic, fast-changing environment
  • High attention to detail, high level of initiative, and the ability to work independently
  • Ability to travel on a limited basis and work flexible hours
